90-day limit on recordings

Recordings older than 90 days are removed on the Free plan. Data stored in US (AWS). Account deletion requests fulfilled within 30 days per Privacy Policy (Last Updated August 11, 2025). Backup copies may persist up to 7 additional days post-deletion.

HIPAA, SOC2 Type II, GDPR

Encrypted in transit and at rest. SOC2 Type 2 report available on trust.fathom.video. Passed Zoom security review. GDPR-compliant; DPA available. EU-U.S. Data Privacy Framework certified. Exceptional Free Tier (With 90-Day Storage Limit)

Fathom's free tier is genuinely unlimited for recordings, transcription, storage, clips, and downloads — but recordings older than 90 days are automatically removed. Advanced AI features (AI summaries, action items, Ask Fathom) are limited to 5 meetings/month. This is still the most generous free tier among meeting tools, but the 90-day limit matters for archival use. The free tier also includes public API and MCP access.

10 Free Nonprofit Seats (Vendor-Direct, Sales-Assisted)

Qualified charities and nonprofits receive 10 free Team or Business seats. This is excellent value ($2,280–$4,080/year value at current monthly pricing). Not available through TechSoup or Goodstack — nonprofits must contact Fathom's sales team directly with documentation; it is not a self-serve online application.

No Third-Party Training — HIPAA BAA Publicly Available

OpenAI, Anthropic, and Google are contractually prohibited from training on Fathom user data. Fathom's own internal training uses de-identified data with opt-out available. A HIPAA Business Associate Agreement (BAA) is publicly available at fathom.ai/baa for all tiers — not just enterprise. No changes to this policy as of July 2026.

Bot-Free Capture Now Live (April 2026)

Fathom launched bot-free capture in April 2026, letting users choose per-meeting between: (1) bot with full video and audio, (2) bot-free video (limited beta, Mac/Zoom), (3) bot-free audio + transcript, or (4) bot-free transcript-only. This also enables capturing Slack Huddles, which previously required a visible bot. Fathom emphasizes full speaker diarization/attribution even without a bot present. An iOS app and Windows support remain 'coming soon' as of July 2026.

Expanded LLM and MCP Integrations

As of April 2026, Fathom offers direct Claude and ChatGPT integrations and a Model Context Protocol (MCP) server, letting users query their entire meeting library from inside those LLMs or build custom agents/workflows. Account-wide Ask Fathom now returns cited answers with exact transcript moments across a user's or team's full meeting history.

New Enterprise Tier Listed (No Public Pricing)

fathom.video/pricing now lists a fifth 'Enterprise' tier alongside Free/Premium/Team/Business, aimed at large organizations. For health data or vulnerable populations

Fathom is HIPAA compliant with a blanket BAA publicly available at fathom.ai/baa (all tiers). Third-party AI providers are contractually prohibited from training on user data. For sensitive health-related meetings, use Business tier for custom data retention and advanced compliance controls. Ensure org-wide training opt-out is enabled. As of April 2026, bot-free capture modes (still in beta) offer an additional discretion option, but the traditional visible bot presence still requires participant consent under applicable state/country recording laws when used.
