90-day limit on recordings

Recordings older than 90 days are removed on the Free plan. Data stored in US (AWS). Account deletion requests fulfilled within 30 days. Backup copies may persist up to 7 additional days post-deletion.

Exceptional Free Tier (With 90-Day Storage Limit)

Fathom's free tier is genuinely unlimited for recordings, transcription, storage, clips, and downloads — but recordings older than 90 days are automatically removed. Advanced AI features (AI summaries, action items, Ask Fathom) are limited to 5 meetings/month. This is still the most generous free tier among meeting tools, but the 90-day limit matters for archival use.

Qualified charities and nonprofits receive 10 free Team or Business seats. Apply directly at fathom.ai/pricing. This is excellent value ($2,280–$4,080/year value at current monthly pricing). Not available through TechSoup or Goodstack — vendor direct only.

No Third-Party Training — HIPAA BAA Publicly Available

OpenAI, Anthropic, and Google are contractually prohibited from training on Fathom user data. Fathom's own internal training uses de-identified data with opt-out available. A HIPAA Business Associate Agreement (BAA) is publicly available at fathom.ai/baa for all tiers — not just enterprise.

Visible Bot in Meetings (Botless Coming Soon)

Fathom joins as a visible participant named 'Fathom Notetaker' (customizable on paid plans). All participants can see the bot. A botless recording mode is on the product roadmap for 2026 and an iOS app is also coming, but both are not yet launched as of March 2026.

For health data or vulnerable populations

Fathom is HIPAA compliant with a blanket BAA publicly available at fathom.ai/baa (all tiers). Third-party AI providers are contractually prohibited from training on user data. For sensitive health-related meetings, use Business tier for custom data retention and advanced compliance controls. Ensure org-wide training opt-out is enabled. The visible bot presence in meetings may require participant consent under applicable state/country recording laws.
