Limited AI trial only — unspecified number of responses, then no AI access. Good for individual workspace organization without AI.

    Quick Take

All-in-one workspace with powerful AI Agents for automation. CRITICAL: The 50% nonprofit discount only applies to Plus plan, which has a limited AI trial only. Nonprofits needing full AI must pay full Business price ($20/user/month). Notion has not yet expanded the nonprofit discount to Business, despite saying since at least early 2026 that it is 'actively working on' this. PRIVACY WARNING: Common Sense Media Warning rating persists. Privacy policy allows sharing data with advertising partners for targeted marketing. Nonprofit discount available in 25+ countries globally (expanded Feb 2026). As of May 2026, Custom Agents now run on paid Notion credits (Business/Enterprise add-on) rather than being free; July 2026's Notion 3.6 added External Agents (Claude, Cursor), interactive HTML blocks, and meeting-note speaker identification.

    Not Recommended
Risk: Only a limited AI trial (unspecified responses), then no AI. Not viable for ongoing marketing work.

    Grant Writing

    Not Recommended

    Donor Communications

    Not Recommended
Risk: Limited AI trial exhausted quickly. No sustained AI assistance for donor communications.

    Program Documentation

    Safe with Precautions

Notion is excellent for documentation structure and organization, but AI assistance ends after the limited trial.

Safe if you only need the workspace features for organization, not AI content creation

    Board Reports

    Not Recommended
Risk: Limited AI trial. After responses are exhausted, no help with board materials.

    Volunteer Training

    Safe with Precautions

Good for organizing training materials and wikis. AI trial insufficient for content creation.

Safe if you only need workspace organization, not AI content creation

    Social Media

    Not Recommended
Risk: Limited AI trial won't last a week of social media content work.

    Email Campaigns

    Not Recommended
Risk: AI trial too limited for ongoing campaign work.

    Research Summaries

    Not Recommended
Risk: Research requires sustained AI access well beyond the limited trial. Upgrade required.

    Policy Briefs

    Not Recommended
Risk: Cannot produce policy briefs with a limited AI trial.

    Event Planning

    Safe with Precautions

Notion's structure and databases are good for event planning. AI assistance too limited.

Safe if you only need workspace features for planning organization

    Financial Reports

    Policy Snapshot

    As of 2026-07-14
    Data Training

    Never

Customer data is NOT used to train Notion's models or subprocessor models. Contractual agreements with OpenAI, Anthropic, and other AI subprocessors prohibit training on customer data. This applies at all tiers.

    Opt-Out

    Not needed (training); Yes (advertising)

No opt-out needed for AI training — it is off by default. For advertising data sharing, use the 'Do Not Sell or Share My Info' link in the Notion website footer. An opt-in AI LEAP Program allows voluntary data sharing for model improvement.

    Human Review

    Possible

Notion employees may access content for support, safety, and abuse monitoring purposes. No end-to-end encryption means Notion holds decryption keys.

    Retention

    30 days (LLM)

Standard retention. LLM providers may retain prompts and responses up to 30 days during the AI trial period. Page content deleted from workspace can be restored within 30 days; after 30 days, deleted and unrecoverable.

    Security

    Enterprise grade

SOC 2 Type 2, ISO 27001, ISO 27701. AES-256 encryption at rest. TLS 1.2+ in transit. All AI features included in SOC 2 and ISO 27001 scope.

Nonprofit discount doesn't include AI. Business required for full AI access.

Free/Plus: Limited AI trial only (unspecified responses, then no AI). Business: Full AI including Agent and multi-model support, no nonprofit discount; Custom Agents/Workers now require purchased Notion credits (since May 2026). Enterprise: Zero LLM retention, HIPAA BAA available.

The 50% nonprofit discount only applies to Plus (~$5/user/month), which has NO sustained AI. For full AI, the $20/user/month Business plan has no nonprofit discount, and heavy use of Custom Agents/Workers now adds metered credit costs on top. Consider Google Workspace (free Gemini) or Claude (75% off) for better nonprofit AI value.

    Key Distinctions

⚠️ Notion AI Add-on NOT covered by HIPAA BAA

CRITICAL: Even when Notion Enterprise has a BAA, Beta Services and some AI features are explicitly EXCLUDED from HIPAA coverage. Healthcare nonprofits must verify which AI features are in-scope under their specific BAA before using Notion AI for PHI. Enable HIPAA compliance via Settings → Workspace settings → HIPAA compliance.

AI Requires Business Plan (Limited Trial on Free/Plus)

As of May 2025, new Free and Plus users receive only a limited AI trial (unspecified number of responses). Full AI — including Notion Agent, AI Meeting Notes, Enterprise Search, and multi-model support (GPT-5.4, Claude, Gemini, plus newer models like Opus 4.8, Grok 4.3, and GLM 5.2 added July 2026) — requires Business ($20/user/month) or Enterprise.

    Nonprofit Discount Doesn't Include AI

CRITICAL: The 50% nonprofit discount only applies to the Plus plan, which does NOT include full AI. Nonprofits needing AI must pay full Business price ($20/user/month). Notion has stated since at least early 2026 that it is 'actively working on' extending the discount to Business, but as of July 2026 this has not happened. This remains a major gap in nonprofit value.

Nonprofit Discount Now Global (25+ Countries)

As of February 2026, Notion for Nonprofits expanded globally to 25+ countries including Australia, Canada, UK, Germany, France, Japan, Brazil, and more. Previously perceived as US-only, the program now uses TechSoup's global network. Organizations in unsupported countries can contact [email protected]. No further expansion identified as of July 2026.

Custom Agents Now Cost Money (Since May 2026)

Custom Agents launched free-to-try in February 2026 but began requiring purchased Notion credits on May 4, 2026 ($10 per 1,000 monthly credits, no rollover), available as an add-on on Business and Enterprise only. Agents got 35-50% cheaper to run in April 2026 and even more efficient with newer low-cost models. Workers (beta) remain free to try but will also convert to credit billing starting August 11, 2026.

AI Agents Are Powerful and Expanding Rapidly (Business and Enterprise)

Notion Agent can work autonomously on multi-step tasks — building forms, creating databases, searching company knowledge. Custom Agents automate recurring workflows. Since March 2026: custom AI skills, AI image generation, the Notion Developer Platform (Workers, External Agents API, CLI, Agent SDK), and as of July 2026's Notion 3.6: External Agents (Claude and Cursor can be orchestrated inside Notion), AI-generated interactive HTML blocks, and speaker identification in AI Meeting Notes.

Zero LLM Retention Only on Enterprise

Business plan has 30-day LLM provider data retention. Only Enterprise gets zero-retention APIs (data deleted immediately after processing). For sensitive nonprofit data — donor records, health information, financial data — this matters significantly.

    No Training on Customer Data

Unlike many tools, Notion does NOT train on customer data at ANY tier. All AI subprocessors (OpenAI, Anthropic, etc.) have contractual agreements prohibiting training on customer data. An opt-in AI LEAP Program allows voluntary participation in model improvement.

    Common Sense Media Warning Rating

Common Sense Media rates Notion as Warning (updated from prior Fail; unchanged as of July 2026). Notion shares identifiers, internet activity, and geolocation with advertising partners for targeted marketing of its own services, and may sell/share this data. This does not affect your workspace content privacy, but is a governance flag for organizations with strict data policies.

Terms of Service Updated for Notion Credits (May 2026)

Notion's Master Subscription Agreement and Notion AI/Notion Credit Supplementary Terms were revised in April 2026, effective May 1, 2026 for existing customers. Key additions: usage-based Notion credits terms, clarified data sharing when using MCP connectors/integrations, explicit confirmation that customers own their Customer Data, new Professional Services and reseller billing sections, and a shift to mutual limitation of liability. The Personal Use Terms of Service were not changed.

    2026-05-13

Notion Developer Platform launched (Notion 3.5): External Agents API (alpha) to bring outside agents like Claude, Codex, and Decagon into Notion; Workers (beta) for custom code running on Notion's hosted infrastructure — free during beta, will convert to Notion credits starting August 11, 2026; new Notion CLI; Agent SDK (alpha) to embed Notion Agents in other apps; Markdown API.

    2026-05-04

Custom Agents billing went live: after a free trial period (through May 3, 2026), Custom Agents now require purchased Notion credits ($10 per 1,000 monthly credits, no rollover), available as an add-on for Business and Enterprise plans only. Regular/standard AI usage (Notion Agent, Ask Notion, AI Meeting Notes) remains unlimited on Business/Enterprise and is not credit-metered.

    2026-04-14

Notion 3.4 part 2: Custom Agents made 35-50% cheaper to run, with additional efficiency from new lower-cost models (GPT-5.4 Mini & Nano, Haiku 4.5, MiniMax M2.5) using up to 10x fewer credits; Notion credits usage dashboard added; Custom Agents gained access to private Slack channels; AI Autofill extended into databases via Custom Agents; Notion Agent gained 'Skills' (saved custom workflows), Calendar/Mail/Slack integration, inline doc editing, and voice dictation; AI Meeting Notes gained custom instructions; new Salesforce and Box AI connectors; new granular 'can create pages' database permission.

    2026-04

Master Subscription Agreement and Notion AI/Notion Credit Supplementary Terms updated; effective immediately for new customers and May 1, 2026 for existing customers. Added usage-based Notion credits terms, clarified data sharing for third-party integrations/MCP connectors, reaffirmed customer ownership of Customer Data, added Professional Services and reseller billing sections, and shifted to mutual limitation of liability. Personal Use Terms of Service unchanged.

    2026-03-20

Custom AI skills launched: Turn any repetitive AI task into a team-accessible command via text selection or @mention. Available on Business and Enterprise. Image generation with AI added (covers, charts, diagrams). GPT-5.4 now in Notion's model picker. Salesforce connector for Enterprise Search. New consent controls for AI Meeting Notes (workspace owners can enforce audio consent policies).

    2026-02-24

Notion 3.3 launched Custom Agents: fully autonomous agents that run on triggers/schedules across Notion, Slack, Mail, and Calendar. Free to try through May 3, 2026, after which they require purchased Notion credits (Business/Enterprise add-on).

    2026-02-10

Notion for Nonprofits expanded globally to 25+ countries. Eligible organizations worldwide can now get 50% off Plus plan via TechSoup's global network, not just US-based 501(c)(3)s.

    2026-01-20

Notion 3.2: Mobile AI Agent launched (full desktop capabilities on phone). New AI models available: GPT-5.2, Claude Opus 4.5, Gemini 3, plus Auto mode. AI usage analytics for Enterprise admins. Notion MCP improvements: audit logging for MCP tool usage and enterprise admin allowlisting.

    Bottom Line

    Best for

Teams already using Notion as their primary workspace who need AI deeply integrated with docs, databases, and workflows. Notion Agent and Custom Agents (Business/Enterprise) are powerful for automation, though Custom Agents now carry metered credit costs. July 2026 additions include External Agents (Claude, Cursor), interactive HTML blocks, and improved meeting transcription with speaker identification.

    For organizations with 5+ staff

At $20/user/month for Business (no nonprofit discount), a 10-person team pays $2,400/year for full AI, plus any additional Notion credits if using Custom Agents or Workers heavily. Compare to Claude Pro at $20/user/month (75% nonprofit discount = ~$5/user/month). If your team already lives in Notion and needs workspace + AI integration, Business makes sense — but budget for credit costs if you plan to deploy Custom Agents at scale. Otherwise, consider pairing Notion Plus (nonprofit-discounted) with a separate AI tool.

For organizations with fewer than 5 staff

Notion Plus at ~$5/user/month (with 50% nonprofit discount) is good value for workspace organization. But it provides only limited AI trial. For small teams needing AI, adding Business at full price is expensive, and Custom Agents now cost extra on top. Consider Claude (75% off) or Gemini for AI, and use Notion Plus just for the workspace.

For health data or vulnerable populations

Enterprise only for HIPAA-covered use cases. Business plan has 30-day LLM retention — not appropriate for PHI. Enterprise has zero LLM retention and HIPAA BAA, but verify which AI features are in-scope under the BAA. Beta services (including some AI Meeting Notes features) are explicitly excluded from HIPAA coverage.
